Event Planning Checklist

A)  Invitation/Notification of Event 
o  
Does the invitation clearly indicate that people with special needs are welcome?

o  Do appropriate icons appear e.g., physical access, sign language interpreter available etc.? 
Click here for a Government of Ontario Ministry of Community and Social Services Listing of the International Symbols of Accessibility.  These symbols can be used to promote and publicize accessibility of places, programs and other activities for people with various disabilities.

o  Is the writing clear, in an easily legible font and size? 
Click here for a Clear Print Accessibility Guideline, prepared by CNIB, to help you make your event accessible to everyone.

o  Is the information embedded in an email as well as an attachment?

o  Do the visual images depict inclusion, e.g., people with special needs?

o  Have you included a contact name and number for inquiries regarding special accommodations?

o  Has notification been sent by email as well as hard copy and is it on the website?


B)  Facilities
o   Is the facility accessible – for wheelchairs, walkers, scooters?

o   Are the bathrooms accessible?

o   Are there designated information/rest areas available?

o   Is there barrier-free parking?

o   If transportation is being provided, is it accessible?

o   Are the lighting and print formats of presentation materials appropriate for people with visual impairments?

o   Are there special viewing areas set aside to ensure people are able to see, hear etc.?

o   Is the signage appropriate?
 
C) 
Communication
o  Will there be a sign language interpreter or captioner?

o  If there are videos, will there be subtitles or verbal descriptions?

o  Will there be assistive listening devices?

o  Have you made sure that sign language interpreter, etc. will be visible to those in wheelchairs?

o  Is the website where the event is posted accessible?

o  Is the event available as a webcast?
 
D)  Staff and Volunteers
o   Have you arranged for volunteers?

o   Have they received orientation/sensitization and training to respond to inquiries?
